Hexagon Studio Ltd is the data controller responsible for personal data collected through the Nexus Intelligence website. We handle personal data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

When you send an enquiry through the contact form, we collect:

• Your company or organisation name, if you give it

• Anything you include in your message

2.2 Technical information

This website does not use cookies, analytics or advertising trackers, and its fonts and files are served from our own hosting. Like all websites, our hosting provider's servers keep short-term technical logs, such as IP address and browser type, to keep the site secure and working.

2.3 Licensing and business contact data

If you enter into licensing discussions or a Licence Agreement with us, we may also collect and process:

• Business contact details for you and any technical or commercial contacts you nominate
• Correspondence relating to the licensing discussion, including any non-disclosure agreement
• Contract and invoicing records
• Technical contact details needed to provide deployment support and ongoing maintenance

2.4 Data within a licensee's own deployment

The Nexus Intelligence engine is deployed within a Licensee's own environment, using the Licensee's own credentials and infrastructure. Any data generated, stored or processed within that deployment is under the Licensee's control, and the Licensee is the data controller for it. Where we access such an environment to provide technical maintenance, we do so on the Licensee's instructions and on the terms set out in the applicable Licence Agreement.

3. How we use your data

• To respond to enquiries: processing contact form submissions and replying to your messages
• To conduct licensing discussions: assessing enquiries, negotiating terms and administering any resulting agreement
• To provide technical support: deployment assistance and ongoing maintenance for Licensees
• To comply with legal obligations: including UK tax and accounting requirements
• To protect our legitimate interests: preventing fraud and misuse of our website, and enforcing our terms and conditions

We do not use your personal data for automated decision-making or profiling.

4. Legal basis for processing

Under UK GDPR, we rely on the following legal bases:

• Contract: where processing is needed to enter into or perform a Licence Agreement with you
• Legitimate interests: where we have a genuine business interest that does not override your rights, such as replying to enquiries, preventing fraud and protecting our intellectual property
• Consent: where you have given explicit consent
• Legal obligation: where UK law requires us to process data

5. How long we keep data

• Contact form enquiries: up to 24 months from submission, unless an ongoing relationship develops
• Licensing correspondence: for the length of the discussion and up to 24 months afterwards where no agreement results
• Contracts, invoices and related records: 6 years from the end of the financial year they relate to, as UK tax and company law require

6. Sharing your data

We do not sell, rent or trade your personal data. We only share it with trusted third parties where necessary:

• IT, hosting and email providers: services that process data on our behalf under appropriate data processing agreements
• Professional advisers: legal and accounting advisers, where needed in connection with a licensing agreement or our legal obligations

All third-party processors are contractually required to handle your data securely and in line with data protection law.

Some service providers may be based outside the United Kingdom. Where personal data is transferred outside the UK, we make sure appropriate safeguards are in place under UK GDPR, such as the UK International Data Transfer Addendum, standard contractual clauses or adequacy regulations.

9. Cookies and tracking

This website does not set cookies and does not use analytics or advertising tracking. If this changes, we will update this policy and ask for your consent where the law requires it.

10. Data security

We use appropriate technical and organisational measures to protect personal data against unauthorised access, loss, alteration or disclosure, including encrypted connections (HTTPS), access controls and secure storage. No method of sending data over the internet is completely secure, so we cannot guarantee absolute security.

11. Children's data

The Nexus Intelligence website is intended for business users aged 18 and over. We do not knowingly collect personal data from anyone under 18. If you believe we have collected data from a minor by mistake, contact us at support@nexusintelligence.network and we will delete it promptly.
